How to give clients a property file under your own brand
With PropOS, the file your client opens carries your company's name and logo, not ours. Inside it they find their property: the conversations, documents and numbers your team sends. Your name sits at the top of every screen in the file. Your name and logo are set once for your firm, and every client you add sees them. PropOS is built for property management companies in Greece.

Why should your client see your name, not a software brand?
Your client chose your firm, not a software company. They handed you the keys, the tenant and the bills. When they open their property, it should be obvious at a glance who looks after it.
A screen from an unfamiliar software company raises small doubts: who is this, who holds my documents, whom do I call if something is wrong? Your own name answers all three before anyone asks.
It also keeps the client relationship where it belongs: with the firm that does the work.
Where does your name appear, step by step?
Follow one invoice from a demo firm, Stoa Property Management, to its client:
| Moment | What the client sees |
|---|---|
| 1. They open the property | Stoa's logo across the top, above their own apartment |
| 2. They read the invoice | Stoa's team explaining the kitchen repair, the invoice attached, and a button to approve €420 |
| 3. They look for it next month | The invoice filed in the Vault, linked to the conversation where it arrived |
| 4. They check the money | The €420 under expenses in Financials, once payment is confirmed |
Put your company where Stoa is. That is what your clients would see.
What should you prepare before your first client opens the file?
A short list, most of which you already have:
- your logo, in a version that stays clear at the size of a phone screen
- your company name exactly as clients know it, the one on your contracts and invoices
- one client to start with: someone with an active property and a reason to open the file this month
- the first documents to put in: the current lease, the latest bills, and any open repair
- one person in your team who answers that client in the file from the first day
A file with three real documents in it on the first day gets opened. An empty one with a nice logo does not.
How do you tell your clients about the change?
Tell them yourself, before the invitation arrives, in your own words. A short note is enough. For example:
"From this month, everything about your apartment in Kolonaki will be in one place under our name: messages, documents, invoices and the numbers. You will get an invitation by email. Open it, and you will find the apartment with everything we have sent you. Each time we add something, you will get a notification on your phone. When we need your approval, the request will be there, and one tap is enough."
Send it in the language your client reads. Once they are in, your messages in the file reach them in their own language too: English, Greek, French, Spanish, Hebrew, Arabic or Turkish. Need another language? We add it for you. Your client picks their language in their settings, and you pick yours.

What sits behind your logo?
A logo gets the file opened once. What brings your client back is finding real answers inside it:
- a separate conversation for each topic, so the door repair and the lease renewal never get mixed up
- each document in the Vault with a short summary in your client's language, the Greek original beside it
- each quote your client approves, listed as upcoming in Financials before the invoice comes
When the answer is in the file, your client looks there first. That is what makes the brand worth having.
Who sees which property?
Each client opens only the properties that are theirs. They cannot reach another client's property, documents or numbers.
Your team works across all of them. So whoever picks up a client's question opens the same file the client is looking at, and answers from there.
Everything you want to know.
Anything else, ask on the call.
Is this a white-label client portal?
It does that job, under your company's name. We call it the property file your clients see: one file per property, with the conversations, documents and numbers your team sends, under your company's name and logo.
What does my client see at the top of the screen?
Your company's name and logo, in the header of their property file in PropOS. The conversations, documents and numbers below it come from your team.
Who is my client talking to inside the file?
Your team. Every conversation in a client's PropOS file is between that client and the people at your firm.
See a demo firm's name on a client's phone, then picture yours.
