Do clients abroad still need a monthly owner statement?
Not when they can see the property live. With PropOS, every rent payment, invoice, approved quote and document your team records goes into your client's file when you add it, and your client gets a notification on their phone. Financials shows income, expenses and approved-but-unpaid costs at any time. The file is the statement.

Why do clients call between reports?
Because the report comes once a month, and things happen at the property in between. The plumber comes on the 9th. On the 10th your client wonders: did he come? How much? Did you pay him? Has the rent arrived?
None of these questions is hard, but they add up, and when the person who knows is on holiday, the answer waits too.
And a repair your client first hears about in the report feels like a problem, even when it was handled well. The questions come from the weeks between reports, so a better report does not stop them.
What do clients abroad want to know?
Four things. They want to see where the money goes without asking. They want a document behind every amount, so they never have to take your word for a number. They want to read it in a language they understand. And they want no surprises.
A report once a month answers them late. A file your team keeps up to date answers them on the day something happens.
What does your client see in the file instead of a report?
Everything a monthly statement would list, in the place your client already opens, as soon as your team adds it. Here is where each part sits.
| What your client wants to know | Where it is in the file | When it appears |
|---|---|---|
| Has the rent arrived? | Financials, under income, with its date | When your team records the payment |
| What did we pay, and for what? | Financials, under expenses, with the invoice beside it | When your team confirms the payment |
| What have I approved that is not paid yet? | Financials, as upcoming | When your client approves your quote |
| What is still open? | The conversation for each repair or matter | With every message your team sends |
| What is this Greek document? | The Vault, with a short summary in their language next to the original | When your team uploads it |
| How is the year going? | Financials: income and expenses this year, and the latest transactions | At any time |
For every invoice, message and update your team sends, your client gets a notification on their phone. They open the file and see it. Nobody waits for the end of the month, and nobody puts a report together to send.

What if a client still asks for a monthly summary?
Some clients are used to a monthly email and will ask for one at first. Answer with one short message in the property's file that points them to the month. For example:
"October is in Financials: the rent came in, two invoices were paid, and the balcony repaint is approved and shows as upcoming. The invoices are in the Vault."
Your client gets a notification, opens the file and finds each amount with its document. If they don't read Greek, your message reaches them in the language they picked in their settings. It takes you a minute, and it shows them where to look next time.
What if your management agreement requires a written statement?
Then keep to it. What changes is the work behind it. Every amount is already in the file, with its document beside it and the conversation it came from, so the statement is quick to put together: you copy from one place instead of searching for invoices.
And because your client saw each amount when your team recorded it, the statement holds no surprises. It confirms what they already know.
Does the file make your team's work easier too?
Every amount sits next to its document, and every document next to the conversation it came from. When a client asks about March, whoever picks up finds the invoice, the approval and the message in the property's file, not in one person's memory.
When a colleague takes over a group of properties, the history comes with them. And nobody spends the first days of the month putting reports together.
Everything you want to know.
Anything else, ask on the call.
How often should owners get a statement?
As often as your agreement with each client says. With PropOS your client sees each amount when your team records it, so the date of a written statement puts no one under pressure.
Can my client see what they approved but haven't paid yet?
Yes. When your client approves a quote in PropOS, it shows in Financials as upcoming, before the invoice arrives. When your team confirms the payment, it moves to expenses.
Does PropOS replace my accounting?
No. In PropOS, Financials shows each client the income and expenses of their own property. Your accounting stays where it is.
Can a client see another client's numbers?
No. In PropOS a client opens only the properties that are theirs, so their numbers stay with them. Your team works across every property.
